3. Using City talent Tools
City Talent interface provides four major areas to perform various functions:

Talent Marketplace
City Talent’s ‘Talent Marketplace’ is a dedicated area to post jobs and hire professionals for your project. The jobs you post in Talent Marketplace are available to be searched by providers looking for job opportunities. Alternatively, you can search our extensive provider database and invite chosen providers to apply to your job.
Your Talent Marketplace is divided into two sections:

1. Jobs
Jobs area allows you to post job and received job responses from City Talent providers.
Posting jobs
City Talent allows you to post as many jobs as you want in the Talent Marketplace. You can post a job by clicking on the ‘Post a job’ link provided on the right hand corner of the jobs page.
While posting a job, you will be required to submit following information:

Skills required: You can specify upto 3 skills which will be required by the provider to undertake the job. You have to specify at least one skill. |

Weekly Availability: Hours per week you expect the provider to work for you |

Duration: Approximate length of project in weeks |
| 7. |
Private posting: you can choose not to display this job in the Talent Marketplace. If you check this option, your job won’t be searchable to the providers in the Talent Marketplace. Private posting usefully when you want to post a job and invite selected providers to apply. |
Viewing Job Applications
As shown in the screenshot, your jobs page displays various jobs you have already posted. With each job, a summary of applications (total applied and new) is displayed. Clicking on a job will open up the list of all applications you have received for that job.
Most of the jobs applications you will received will have an ‘Applied’ status. Additionally, if a provider whom you invited had applied for the job, you will see an ‘Invited’ icon near the provider name. Job applications list help you to quickly sort/compare all job applications you have received till date.
Clicking on an item in this list will open up more details related to the job application.
A job application consists of two important sections:

Service profile |
Cover Letter
The cover letter is written by service providers to explain non-technical aspects of their suitability of the job. A cover letter is the best way to ascertain commitment and confidence of the service provider for your job. In most of the cases, provider will also mention if they have undertaken a similar assignment in past.
Service profile
The Service profile provides all information regarding the availability, hourly rate, expertise, certification and experience of the provider. Though all our providers are screened before they are available in the Talent Marketplace, it is a good idea to ascertain if they will be fit for the type of work you are offering.

Once you review a provider’s application, you can proceed with a personal interview of the provider.
Hiring Providers
Once you decide to hire a provider, you can do so by clicking on ‘Hire’ button provided in the job application page. An optional comment of message can be added while you hire the provider.
Next Step
As soon as your hire a provider, the provider will be added in your team in ‘My City’. Immediately after hiring you will be prompted to assign a project from existing projects or create a new project to assign to the provider. You may always assign a project to the provider later.
Search Providers
In case you would like search and review providers from our pool of professionals, you can visit the ‘Search Providers’ tab in your Talent Marketplace. You can search providers by entering skills/category/functional area in the search box.
You can click on any provider from the search list to view their service profile. You may also invite the provider to a job in this page. Inviting providers to your job is a proactive step to ensure that you receive applications for your job quickly.
My City
My City is your ‘Project Management’ area in City Talent. In My City you can create and manage all your projects and track your team as they work on projects in City Talent. The first tab in My City is your Dashboard which opens up by default during each login.
1. Dashboard
Your City Talent Dashboard provides an instant overview of activities in your City Talent account.
a) Alerts
Alerts provide instant notification in your dashboard regarding activities that need your immediate attention. You will receive the following alerts in your dashboard:

b) Weekly Activity
The weekly activity graph displays the hours spent by your team each day on your city talent projects. This helps you determine your team’s daily progress as they work for you.
Where do these hours come from?
Your team will use ‘City Time’ when they work on your projects. All work is automatically captured by City Time and stored in our database. City Talent application displays this summary in the form of weekly activity graph on the dashboard. Additionally, you can sort the activity graph by team member in order to view their individual activity on a given day. |
c) My Projects
My projects display your top 5 active projects. You can view all of your projects by clicking on the ‘View All’ link.
d) My Jobs
Jobs that you have posted in City Talent are displayed in this area. Top 5 open jobs are displayed. You can click on ‘View All’ link to view all the jobs.
e) Help & FAQs
Top help issues and FAQs help you to make your journey within City Talent smoother. In this area we provide the most recent help files and commonly asked FAQs about the most important aspects of City Talent. Latest features and upgrade information are made immediately available in this section.
2. Projects
The second tab within My City is Projects. You can create and manage as many projects as you want in this area.
An important note:-
It is very important to understand that projects in City Talent are different than other online marketplace. You create projects to exclusively manage them. If you are looking to hire first, then you can do that by posting a job in the Talent Marketplace separately. Project that you create here are NOT available in the marketplace and are exclusively meant to be shared between you and only those team members assigned to the project.

Creating your first project
You can create project anytime from your projects area. Clicking on ‘Create a project’ link will allow you to create a new project.
Once you create a project, click on the project title to go to the Task List page of your newly created project. Initially, your task list would be blank and resemble to the screenshot shown below:.

1. Tasks
Tasks are the easiest and the most effective way to manage your projects in City Talent. Defining task will allow you to maintain a lot of clarity in your project from the very beginning.
An important note:- If your project is relatively small, you may assign the project to one or more team members without creating a task. Work logs will be registered for the entire project. |
Creating a task
You can create task by clicking on the link “Create a task” available on the top right corner of your project screen.
You can enter following information while creating task
Task Title: Task title provides a quick overview of the work to be done. This field is mandatory.
Task Description: Task description provides more information about what needs to be done in this task.
Team Member: You can choose a team member to whom this task can be assigned. However you can also create a task without assigning a team member. You can always add/remove team members from a task later on.
Due date: Expected date to complete this task. The moment a task reaches a due data, it will turn into red color.
Open Tasks
Task which are currently open and in progress are displayed in the task list. Each task can be assigned to one or more team members
Closed Tasks
Completed tasks or tasks where the work has been completed are listed here.
View Task
Upon clicking on a task from the task list, you will see the following information related to that task:

In the task view page you will see additional action links to assign another team member to this task, edit the task or close this task.
You will also see the team members who are currently assign to this task with the hours already clocked on the task.
Removing a team member from task
As show in the screenshot above, there is a “De-assign” link and icon to remove the team member from task.
2. Files
The Files area helps you organize and share all of your files and documents with your team members. Each project has a dedicated ‘Files’ area to share important document/files in that project. You may upload project requirements docs and providers may upload deliverables in this area.
You can download files by clicking on the file name. Additional information of the file such as the team member who uploaded the file, date of upload and optional comment is displayed with each file.
Uploading Files
You can upload files not exceeding a size of 10MB per file. You can specify an optional file description and chose the team member to send e-mail notification of the file upload.
3. Project Members
Team members assigned to the project are displayed in this area with their role bill rate. You will also assign new team members to a project from this area. You can either choose to assign member from ‘My Team’ or hire new providers by going into the Talent Marketplace.
Add Project Member
In the project member page, click on the “Assign Member” link provided on the top right corner of the project area.
In this screen you will see a drop down menu with list of your team members currently not assigned to this project. Choose a team member and enter the role to add a project member.

3. My Team/Activity
My team is your team management area. You can perform functions like viewing activity of each team member, assigning the project; submitting performance reviews and viewing their recent service profile.
Upon clicking on a team member box, Activity page will open by default. In addition to activity, following navigation items are available:

1. View Activity
Activity page allows you to view daily activity summary of each provider during a work week. As a result, you can easily know, how much time is dedicated by whom and in which project/task.
Where do this activity data come from?
For each work day, you will see the list of projects/tasks provider has worked on and the hours spent. You can view a detailed work log for each day by clicking on the ‘View Work Log’ link provided with each work day.
Viewing Provider Work Logs
The work log page displays a list of all of work logs captured by City Time as well as any offline work logs added by provider.
Understanding Work Log
Each work log is captured by City Time randomly in a 10 minute interval. Every Work Log ‘block’ is made up of ’10 minutes’ each. Since the work logs are in block of 10 minutes each, it becomes easy for provider to manage them and report work hours accurately.

What does the work log contain?
Following information captured by City Time is displayed in each ‘Work Log Block’ of 10 minutes:

The total time of work logged on a given day is displayed at the bottom of the work log page.
Offline Work Logs
There are times when provider might not have logged their work through City Time. City Talent designates such work as ‘Offline Worklogs’. Offline work logs are added by provider from their console and they are displayed in the work logs page for each day (along with the online work logs).

2. Review Performance
This is the second link in your team management area. You can submit performance reviews for your team members to City Talent. Your performance reviews are never published and used by City Talent to constantly evaluate the quality of its talent pool. It is recommended to submit at least one review with every project completed by your service provider.
3. Assign Project
In addition to the project member area provided in each project, you can also assigned project to a team member from this area. Both ways project assignment functions in a similar way.
4. View Service Profile
An updated service profile of your team member (which is also visible in the marketplace) is available here. All City Talent providers tend to update their service profile periodically with new expertise/experience they have gained. Reviewing their service profile enables you to gain a better understand of new skills they have acquired and might help you in building up the team for your next project.
5. Remove from My Team
This area will allow you to remove a team member from your team permanently. Upon removing a team member from here, he/she will be automatically removed from all projects/tasks currently assigned. Although you can view the activity history of such providers any time. A list of removed team members will be displayed in your removed team members list in the My Team page.
My Account
‘My Account’ area in City Talent helps you to perform common functions related to your billing, and profile. It is divided in two sections:
1. Billing
Every week, City Talent generates an invoice based on the work logs submitted by your team members. On Friday mid night GMT, City Talent automatically compiles all these work logs and generates invoice. No matter how many projects or providers you are working with, you will get one clean concise invoice.
| Important Note: Providers are given 48 hours to finalize and submit their invoices. Invoices will be available in your account on Sunday mid-night GMT. |

Your invoice detail contains an alert message which informs you about the payment method which will be used to process the payment. |
 |
A unique billing item is displayed for each team member and project so that you know how much you are paying for a team member project-wise. |
 |
You can add additional line items to this invoice for any team member. Line items already added by team members are also displayed. |

Following screen displays the interface required to add a line item.
You have to populate the following fields when adding a line item:

2. Profile
The profile tab in the ‘my account’ area contains all of your personal information that you entered during the signup and review process. You can update the following information by going into your account profile.

As shown in the screenshot, the right hand navigation provides a link to update your profile on City Talent.
Changing Password
You can change your city talent password by navigating to your personal profile and clicking on the ‘change password’ link.
Uploading your company logo
You can update/upload your company logo through your your company profile.
City Library
The City Library is your knowledge repository for assistance,
useful tools and resources to facilitate your success in City Talent.
City Time
City Time is the automated work reporting used by service providers to log their daily work. Work logs submitted by City Time are securely transmitted from provider’s desktop to city talent server without any personal intervention.
How City Time works?
The Projects/tasks you have assigned to your team members will be automatically available in their City Time Clock-in Screen. Providers first login to City Time using their username and password.
Once they login, a list of projects and associated task (upon selecting a project) is displayed in the ‘Clock-in’ screen.
Providers select the project/task they will be working on from the project drop down list. For a given project, if a task has not been created, they can still clock-in by choosing only the project.
Once the provider is clocked in, the clock-in time is registered by City Time. City Time will now randomly capture work activity in 10 minutes interval and submit to the City Talent database. Once the provider done for the day, they will clock out. Clock out time is again recorded and work logs for the day are automatically calculated by City Talent. These are available in the Activity summary page in your my team area.
